PRIMARY PURPOSE: The Substitute Receptionist / Administrative Assistant is a person who provides coverage for the principal duties and responsibilities because of the absence of a permanent Receptionist / Administrative Coordinator due to leave, health problems etc.

A substitute employee is one hired with the understanding that his/her association with the North Texas Food Bank will be on a substitute basis, as needed. A substitute employee will be called in advance whenever possible but may be called the day before they are needed or early in the morning on the day of an unexpected absence of the regular employee due to illness or other obligations.

Substitute employees are paid at an hourly rate, determined by the NTFB. They are not eligible for insurance benefits, holiday pay, and do not accrue vacation or sick leave during the period they are employed as substitutes.

PRINCIPAL DUTIES AND RESPONSIBLITIES:

  • Open and close reception / visitor area (lock and unlock doors, turn lights on and off, stock media stand etc.).
  • Greet visitors and volunteers with an open and friendly reception. Provide necessary guidance, information, proper security badge and safety vest as appropriate.
  • Maintain security log.
  • Answers telephones and direct the caller to the appropriate associate or their voice mailbox when the associate is unavailable.
  • Provides callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information.
  • Provide callers or walk-in visitors seeking food assistance with information regarding location of local food pantries that provide service to their residence and the process of applying for assistance.
  • Accept monetary and food donations, provide receipts and maintain Excel spreadsheet containing court ordered restitution donation data
  • Receive, open, sort, separate and distribute incoming mail to appropriate staff member's mailbox.
  • Coordinate the pick-up and delivery of express mail services,
  • Process and mail out checks from Accounts Payable
  • Assist with other related clerical and administrative duties such as scanning, photocopying, filing, organizing, faxing, etc. include providing basic administrative and data entry support as needed.
  • Providing administrative and project support for NTFB's overall direction and mission as directed by the Manager of Administrative Services

ADDITIONAL QUALIFICATIONS / EXPERIENCE:

  • Receiving and maintaining office supplies.
  • Assist with coordination of repair and maintenance of office machines and supplies

MINIMUM QUALIFICATIONS:

  • High School Diploma or GED and 6 months to 1 year of relevant experience and/or training, or equivalent combination of education and experience.
  • Must be familiar with phone systems and have the ability to operate 10 or more lines.
  • Must be very comfortable using a computer; familiarity, experience and comfort working with Microsoft Office products (Excel, Word, and Outlook)
  • Attention to detail and commitment to accuracy
  • Must possess exceptional interpersonal and verbal communication skills.
  • Must be punctual and present a professional appearance.
  • Ability to work independently on assigned tasks as well as to accept direction on given assignments.
  • Able to work collectively with the administrative team associates.

Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
